Re-Registration Requirements

The current core executive officers, both president and treasurer, of each recognized student organization will need to collaborate to complete the annual re-registration requirements on behalf of the student organization.

Possible Consequences

Core executive officers who fail to complete the re-registration requirements on behalf of their student organization by the communicated deadline for their assigned annual cycle will cause the student organization to be subject to the following consequences.

  • Frozen Status

    Information
All student organizations whose core executive officers do not complete the re-registration requirements for their assigned annual cycle will be automatically frozen the next business day following the deadline.
To become unfrozen, core executive officers must schedule and attend a meeting with a designated SOLE Office staff member or submit required corrections within a set grace period.
    Consequences for Frozen Student Organizations
Loss of ability to reserve MIT campus spaces.
Loss of ability to access/utilize their student organization financial accounts.
Loss of ability to process finances (i.e., RFPs).
Loss of access to their Engage group page.
  • Derecognized Status

    Information
All student organizations whose core executive officers do not complete the unfreezing process for their student organization will be automatically derecognized the next business day following the grace period deadline.
Upon derecognition, an email will be sent to the student organization’s group officer mailing list with (1) a notice of derecognition, (2) guidance from the ASA and SOLE Office regarding the derecognition process, and (3) information regarding the recognition process, if the group intends to remain active.
    Consequences for Derecognized Student Organizations
Loss of all student organization privileges.
An order to cease and desist the group's use of MIT's name and graphic identity.
Immediate cancellation of all scheduled and/or pending events.
Loss of access to ASA-allocated space with a one-month deadline* to remove belongings**.
Pending financial transactions will be processed, but new ones will not be accepted.
Frozen financial accounts for up to three academic years, after which funds are reallocated if the organization is not reinstated.
*Student organizations that are derecognized during the third week of June as part of the annual spring re-registration cycle will have until the final week of September of the same year to collect all student organization items from their ASA-allocated space, if applicable.
**Any items remaining in the ASA-allocated space after the one month period has ended will be donated or disposed.
